Estheticians rarely run out of demand before they run out of room. The ceiling is set by three numbers most people never write down: how many hours the room is genuinely open, how long a facial takes door to door, and how many minutes disappear between clients on stripping the bed, wiping down, running laundry and writing notes.
That last number is the one that gets underestimated. A sixty minute facial with a twenty minute reset is an eighty minute block, and eighty into a working day divides very differently than sixty does. This calculator takes the honest version of your grid, sets aside the hours you hold for new consultations, and tells you how many clients you can carry on a plan at your chosen spacing.

This is a ceiling and not a forecast, so treat it as the number of plan clients your room could hold if every held slot were filled.
Fifteen minutes between clients does not feel like a cost while you are doing it, but four turnovers a day is an hour of unbilled labor and it belongs in your capacity math. Set the turnover number here to what actually happens on a normal Tuesday, not to your best case.
There are only two honest ways to change it: shorten the reset by staging linens and implements before the day starts, or accept it and price the facial to cover it. Estheticians who pretend the room resets itself end up either running late all afternoon or skipping the visit note, and the visit note is what makes visit four worth anything.
Spacing is a protocol decision first, driven by what the skin can tolerate between treatments. It is also a capacity decision, because tighter spacing means each plan client occupies your grid more often and fewer people can be mid series at the same time.
Run the calculator at two week spacing and again at four and look at the plan client figure. That difference is the reason the shift toward gentler, barrier led protocols changes the business shape as well as the results. Slower arcs put more names on your active list and fewer visits on each of them per month.
No, it is showing the ceiling of your grid rather than your current bookings. The gap between the two is the space your rebooking and follow up have to fill. Most single room practices sit well under the ceiling, and closing part of that gap is worth more than extending your hours.
Because if you do not protect them, plan visits fill the week and there is nowhere to put a new client for three weeks. Holding a small number of consultation slots keeps the front of the funnel open. Set the number to zero here if you consult inside a first facial instead.
It does not, deliberately. Capacity and reliability are separate problems and mixing them hides both. Once you know your ceiling, track your own cancellation rate for a month and discount the figure yourself, or tighten your deposit and reminder practice until the gap closes.
